Preparing for Receipt Generation

  1. Ensure your Print Year (top right corner next to Parish) is set to the correct year. (1999)
  2. Check the data in the "Back Door" for missing Names or Funds or Amounts
  3. Print "YTD Donation List" report for your records, look for missing Env#, People or Amounts
  4. Print "YTD Fund List" report for your records, look for missing information.
  5. Print "YTD Funds By Person' report for your records, look for missing information.
  6. Spot check a random number of people for accuracy of the amounts & totals.
  7. Decide if you want to have a logo on your Tax Receipt. Logo's must be 1in wide x 1.5 in high in BMP format. Place the Logo in the Parish Friendly Directory, and select it under System/Settings.
  8. Decide which Tax Receipt you wish to generate, 3 per page, Details, or Letter.
  9. Create your Tax Receipt letter from Print Tax Receipts Screen if you want to use it, save it.
  10. Decide if you want to have 2 copies of the Receipts, or a combination of the Receipt Types.
  11. Set your Charity Tax Receipt Registration number on your Diocese/Parish screen.
  12. Ensure all of your Parish Name, Address & Phone number are completed on your Diocese Parish Screen. For Multi-Parish Installations, this must be set for each Parish.

Generating the Tax Receipts

Once you have checked all your Donation Data and you are confident the Donations entries are correct, you are ready to generate the Tax Receipts. Remember, that if you Preview or Print the Receipts, the Serial Number Counter will increment the amount of Receipts Previewed or Printed.

The Single Tax Receipt is designed to allow you to reprint a Receipt in the event of an error.

The 1 person to the End is designed to allow you to restart the Printing if the printer should Jam.

The ALL Receipts, is designed to all you to print off all the receipts in either of the 3 formats.

  1. Decide which Receipt Type you want, 3 per page/Details/Letter.
  2. Set the Serial Number counter to the Next number you want on the Receipt.
  3. Select All Donations to Print all Receipts.
  4. Click OK to start the Preview of the Tax Receipts.
  5. Once the Preview Screen is complete, you should be able to click the Print Button.

If you are printing more than 50 or 100 pages, you may consider printing them in Batches, to give your printer a break from printing & allow you to restock the paper supply. This can be done in the same preview screen, without having the reset the counter.

  1. Use the Printer Setup button located on the Print Preview Screen next to the Printer Button.
  2. Set the page count you want to print ( Pages 1 to 50)
  3. Click OK, and then Click the Print Button.
  4. Leave the screen as is, until the 50 pages have been completed.
  5. When you are ready for the next batch, Click the Printer Setup button again.
  6. Set the Page count you want to print (Pages 51 to 100)
  7. Click OK & then Click Print Button (it will only Print pages 51 to 100)
  8. Continue this process, allowing time for your printer to cool down & restock with paper.

When all Tax Receipts have been printed, Spot check a random number for accuracy in names and amounts before mailing or giving them out.
